Export contacts for email marketing

You can export contacts from Stantia to import them into your email marketing platform, such as Mailchimp, Constant Contact, HubSpot, or similar tools.

Exports are generated in CSV format, which means you can:

  • Upload the file directly into most email marketing systems

  • Open and review it in spreadsheet software such as Microsoft Excel or Google Sheets

The export includes your contacts’ tags, making it easy to map contacts to the correct list or segment in your email marketing provider.

To help you comply with anti‑spam and privacy regulations, Stantia allows you to record whether each contact has opted in to receive email marketing.

Editing a contact’s email marketing opt-in status

  1. Open the contact you want to update.

  2. The Overview tab displays the email marketing opt-in status of the contact.

  3. Click the Edit tab.

  4. Tick or untick Opted in for email marketing as required.

  5. Click Save.

Exporting contacts

Click Settings > Export contacts for email marketing in the left menu. You must be an administrator or owner user to access this feature.

Adjust the filters to control which contacts you want to export. For example, you might want to only export contacts that were created or modified after a certain date. Leave the date fields blank if you don’t want to filter by date.

Be default, only contacts marked as opted in will be exported. However, you can adjust the Opt in status filter if needed.

Once you’ve set your filters, click Search to update the results.

Select the contacts you want to export:

  • Tick individual contacts, or

  • Use the checkbox in the header row to select all results at once (including contacts across multiple pages).

Finally, click the Export button and your CSV file will be generated and automatically downloaded to your browser. For large exports, this may take a few minutes. Once complete, the file will appear in your browser’s downloads folder.

Fields in the exported CSV file

Most fields in the CSV file are self‑explanatory. The notes below explain some of the key fields in more detail.

Email

  • If a contact has multiple email addresses, the primary (starred) email address is used.

  • If you see multiple email addresses separated by semicolons, this means the contact either:

    • Has more than one primary email address, or

    • Does not have a primary email address set.

Some email marketing platforms support this format and others do not. If your platform requires a single email address, we recommend ensuring each contact has one primary (starred) email address in Stantia.

Country

  • This is based on the address of the contact.

  • If the contact has multiple addresses, this will be the primary (starred) one.

  • If this is blank it means there’s no address for this contact in Stantia, or the address does not include a country.

Tags

A comma‑separated list of the contact’s tags.

You can use this field to:

  • Filter contacts in your spreadsheet before upload, or

  • Map contacts to the appropriate list or segment within your email marketing platform.

Dates

The export includes three date/time columns:

  • Created – when the contact was created

  • Last modified – when the contact was last updated

  • Opted in to receive marketing email – only populated if the contact is opted in

All dates and times are in UTC (Universal Coordinated Time), which is equivalent to GMT (Greenwich Mean Time). This is why the column names include UTC.

Exporting all contact information

The Export contacts for email marketing feature is designed specifically for syncing contacts with your email marketing provider. As a result, it does not include every data field stored for each contact – only the information needed for email marketing.

We are working on a separate feature that will allow you to export all contact information.
